When external IT project management pays off
Three scenarios we see most: (1) a major initiative starts and the client side has no senior technical PM, (2) a running project derailed and needs an external reset, (3) multiple vendors plus an internal team need coordination with no clear owner. External PM brings distance, methodology and pace.

Method — pick what fits
Agile is not a goal in itself. Some projects need waterfall (public-sector procurement, fixed-price scopes), others can't be steered without Scrum (uncertain SaaS). We choose per project — and communicate the choice transparently.
- Scrum (two-week sprints) for web dev, SaaS, platforms.
- Kanban for maintenance, bug-fix phases, continuous delivery.
- Waterfall + brief + spec for fixed-price + tenders.
- Hybrid (waterfall in contract, agile in delivery) — by far the most common in practice.

Delivery packages
Three packages cover 95% of inquiries. All three are month-to-month after a two-month minimum.
- Brief authoring (one-off, €4,500–9,500): you have an idea, you need a tender-ready document.
- Project steering (ongoing, from €4,500/month at 0.5 days/week): kick-off to go-live, vendor coordination, weekly stakeholder comms.
- Rescue mandate (fixed price after audit): a project is stuck — we take over for 6–12 weeks, stabilize, hand back.

We use what your team already knows — Linear, Jira, Asana, Notion, ClickUp, Trello. Greenfield: Linear for engineering, Notion for docs. Weekly written status (3-min read), bi-weekly 30-min stakeholder call.

Risk management — where most projects die
Living risk register with a clear scale (probability × impact), color-coded quartiles. Each risk has an owner, a due date, a mitigation. Top-3 risks lead the stakeholder report every sprint, even if no one asks. It's the only mechanism that genuinely works.

What does IT project management cost?
Day rates for senior external IT PMs in Germany 2026 are €1,000–1,600. Our project steering retainer starts at €4,500/month (0.5 days/week, 2 days/month). Full-time steering is €17,000–22,000/month. One-off brief authoring from €4,500.
How are you different from classic IT consulting?
We don't run the slide theater. We deliver. A consultant brings recommendations; a PM brings a sprint plan and a brief. We sit inside the project, not next to it.
Do you author tender-ready briefs?
Yes. Goals, audiences, use cases, IA, design constraints, technical requirements, accessibility, privacy, migration, SEO, hosting, maintenance, timeline, responsibilities. Typically 30–60 pages.
Which methodology do you use?
We choose per project — Scrum, Kanban, waterfall, hybrid. What matters more than the method is consistent execution. We don't do 'agile' as a label on a waterfall.
Can you rescue a stuck project?
Yes. Two-week fixed-price audit (cost, timeline, risks, team health). Recommendation with options. If accepted: 6–12 weeks of stabilization, then handback or go-live escort.
Who is the contact during the project?
One person — the PM. Single interface to the client side. No escalation chains, no rotating account managers. Clear deputization for sick days.
How often are status reports?
Weekly written (3-min read: Done / In Progress / Risks). Bi-weekly 30-min stakeholder call with a working demo. Daily during critical phases.
What happens after go-live?
Standard 4-week hyper-care after go-live. Then handover to maintenance — us or your team — depending on setup.
